Position Title: Customer Service Representative
Office Location: Germantown, WI
Reports to: Vice President & General Manager
Status: Full-time/Nonexempt

The Customer Service Representative (CSR) position is critical to the success of the business as it is the primary day to day interface between PCC, our customers and our technology partners. The customer service position is highly reactive and transactional, requiring above average multitasking, organizational and communications skills.

Primary Duties & Responsibilities:
Price & Delivery: Price and delivery is the function of responding to requests from our customers.  Utilizing predefined pricing rules developed and maintained by the PCC sales team, the CSR will prepare a quotation using PCC’s P21 ERP.  Interaction with our partner’s websites and customer service centers to obtain additional price and delivery information is performed on a regular basis.

Order Acknowledgment & Confirmation: PCC receives large volumes of orders daily from hundreds of customers.  Orders can have 1-2 lines or hundreds of items.  The CSR will acknowledge and confirm purchase orders by validating part numbers and pricing is accurate and establishing delivery dates that can be met.

Purchase Order Generation:  Typically for every sales order received from a customer will require the creation of a purchase order to a technology partner to fulfill that order. PCC does warehouse product locally but in many cases not ever product will be in inventory.  Purchased orders are created using the PCC’s P21 ERP system and sent to our partners using various technology means such as EDI, email or entry into their unique ERP systems.

Expediting & Order Tracking: The CSR is responsible for expediting and tracking urgent/rush orders.  This requires staying in contact with the technology partner and the customer to set and meet expectations.

Returns & Repairs: From time to time customers will request to return a product for credit or for repair.  Each vendor has unique rules and polices to handle the processing of returns and repairs. The CSR must understand these rules and gather the appropriate information from the customer in order to complete the necessary paperwork and process the return/repair correctly.

Experience & Skills:

  • Experience working within a distribution business or highly transactional environment is preferred.  Experience working with industrial automation products is a plus
  • Understanding of concepts such as List Price, Margin, Discount Percentage, Markup and Rebates is not mandatory but highly desirable
  • At least 2 years customer service experience
  • Ability to multitask and quickly prioritize work in an environment where the situation is constantly changing is mandatory
  • Experience working with Epicor’s P21 ERP system is a plus
  • Computer skills that include quick and accurate data entry and proficiency with Microsoft Word, Excel, and Outlook is required
  • Excellent interpersonal and communication skills are a must. Must be able to communicate effectively with client personnel and employees at all organizational levels and develop effective working relationships with staff and a network of resources.  Positive customer-focused phone and email skills are mandatory

Work Environment:
Normal office environment and standard hours with occasional overtime required.  From time to time customer service representatives will attend product training which may require overnight stay.
